AI public disclosure statement

Your data, including any personal data you provide, may be analysed and summarised with technology such as AI. Before we use any AI tool, we will remove your name and contact details. The AI tool will only see anonymised free‑text responses. A built‑in data‑cleaning process will remove any information that could identify you. 

Your anonymised data may also be used as part of controlled trials to test and develop AI‑assisted thematic analysis. These trials will help us understand if AI tools can help deliver high‑quality outputs more efficiently and consistently.

Any use of AI during this period will be subject to strict safeguards:

• AI will only process anonymised responses. Personal identifiable information (PII) is removed before analysis begins.
• AI models are hosted in secure systems under our control, or within isolated tenant environments. This means that your data won't be shared or moved outside of these protected systems.
• Your raw data can't be accessed by the supplier’s staff unless Talk London gives explicit permission for a specific, necessary purpose.
• Data is not stored longer than needed for analysis. During a trial, anonymised data is automatically deleted after analysis. This will be at the latest 30 days after analysis is instructed. 
• All AI outputs will continue to sit alongside our human analysis. We will not replace human judgement until we are confident that AI tools are accurate, secure and that ethical safeguards are fully met.
• We keep ownership of all data and all outputs. We'll only use AI tools to classify themes based on categories defined by our analysts — AI tools won't generate new insights or topics.

We will continue to review the outcomes of these trials. If we decide to continue to use AI for our analysis, we will update this statement. We will then provide further information about how we will use the technology and keep your data safe.
