Executive summary

The MPS is seeking approval to extend the Email service contract with Capgemini for a period of up to 9 months.

Recommendation

The Deputy Mayor for Policing and Crime is asked to

1. Approve the extension of Capgemini ICT agreement for the provision of Email services for the period September 1st 2017 to December 31st 2017. The cost of this extension will be funded from existing resources. This extension will be required in full.

2. The further extension of the Capgemini ICT agreement for the provision of Email services for the period up to six months from January 1st 2018 to June 30th 2018, for as many months as required, following confirmation of the Office 365 email migration schedule.

3. To delegate authority to the Commercial Director (Procurement) to extend the Capgemini contract service, as above.

Non-confidential facts and advice to the Deputy Mayor for Policing and Crime (DMPC)

1. Introduction and background

1.1. To support the transition, the MPS is currently running a project to move Email services to Microsoft Office 365 service. The migration of user accounts needs to be extended until at least December 2017.

1.2. The current Email service is provided by Capgemini and it is not possible to use any other email service provider until the transition to Microsoft Office 365 has been completed.

3. Financial Comments

3.1 The funding of this contract extension will be met from existing resources.

4.1. There are no legal implications arising from this proposal. The procurement route will be via a change note (CNN) to the Capgemini ITC contract, in accordance with the Public Contract Regulation 72 (1) (b): Economic or technical reasons.
