This privacy notice explains how we collect and use your personal information for the purposes of facilitating nominations for the 2025 Mayor of London Adult Learning Awards.
This work is being carried out by the GLA. The GLA is committed to protecting your privacy and personal data when you contact us or use our services. This policy therefore outlines our obligations and your rights under data protection legislation. The GLA is the data controller for the personal data processed as part of the Adult Learning Awards nominations project.
How we will use your information
We process the personal data provided to facilitate nominations for the 2025 Mayor of London Adult Learning Awards and capture the experiences of learning from Londoners, employers and adult skills providers. This information will help us raise awareness of adult learning in London and inspire others to engage with London’s skills system.
We will use the information provided about nominees to select winners and runners up, including details that explain the impact of adult learning on their lives. We recommend that nominations do not include any information that nominees may feel uncomfortable sharing in the public sphere and we may use information about winners and runners up in written profiles, photos and film that may get attention from local or national press and media.
The nature of your personal data we will be using
The categories of your personal data that we will collate and store for the project may include:
- name
- address
- email address
- telephone number
- age
- quotes/testimonials.
The personal data we will share in communications may include:
- name
- location
- age
- photography
- video
- quotes/testimonials.
Please note, although we are not requesting sensitive data such as disability, ethnicity, as part of this project, this may be outlined during your responses to questions in the nomination form. We will treat this information sensitively as part of our commitment to data protection.
Why we handle personal information
Under the GDPR and Data Protection Act 2018, the GLA is allowed to use personal information if we have a valid reason or 'legal basis' to do so. For this project, we are relying on your consent as the lawful basis for processing your personal data (Article 6(1)(a)) of the UK GDPR.
We will also rely on the lawful basis of public task because the processing is necessary for us to perform a task in the public interest (Article 6(1)(e)).
Who we share your personal data with
We may sometimes make your personal data available to other organisations. For this project, we will be sharing your data with the Learning & Work Institute who have been commissioned by the GLA to deliver the 2025 Adult Learning Awards.
When we share your personal data with others, we will ensure that this data sharing complies with data protection legislation. For the purpose of this project we would only share data with:
- media outlets in order for them to share your experiences via their platforms.
- our contracted communications and internal communications colleagues.
How long we will keep your personal data
We will only keep your personal data for as long as we need it for the purpose(s) of this project. After the evaluation for this project is delivered your data will be securely destroyed (this will be no later than 31 December 2025). We will ask for explicit permission should we wish to keep your data beyond this period for any purposes (such as ongoing communication activity).
Your data protection rights
Under certain circumstances, you have the right:
- to ask us for access to information about you that we hold
- to have your personal data rectified if it is inaccurate or incomplete
- to request the deletion or removal of personal data where there is no compelling reason for its continued processing
- to restrict our processing of your personal data (i.e. permitting its storage but no further processing)
- to object to direct marketing (including profiling) and processing for the purposes of scientific/historical research and statistics
- not to be subject to decisions based purely on automated processing where it produces a legal or similarly significant effect on you.

Withdrawal of consent and the right to lodge a complaint
Where we are processing your personal data with your consent, you have the right to withdraw that consent. If you change your mind, or you are unhappy with our use of your personal data, please let us know.
