What personal data are we collecting and why?

Under data protection legislation, the GLA is only allowed to use personal information if we have a valid reason (known as a 'legal basis') to do so.

Your personal data will be collected as part of the site submission process for the Apply for support - NHA LDN & ATLAS LDN programme so that our teams can contact you if the site you have submitted is shortlisted for further consideration.

The following personal data is being collected for this purpose:

  • your name
  • your work email address and work telephone number
  • your job title and organisation
  • any personal data you volunteer by either way of evidence or example in your response to the consultation. Please don’t submit any Special Category data in your response.

The above categories apply both to the primary submitter and to any other contact persons named within the submission.

We may use your personal data to:

  • contact you regarding your submission or related matters
  • protect ourselves against malicious activity e.g., spam, bots etc.

We uphold the GLA’s web privacy statement - when we use personal information, we do so only to deliver better public services to Londoners as individuals and as a whole.


Lawful basis for processing the data

UK data protection legislation sets out when we are lawfully allowed to process your personal data. The lawful basis that applies to this processing is Article 6(1)(e) of the UK GDPR, which allows us to process personal data when this is necessary for the performance of our public tasks and/or the exercise of our official authority.


With whom we will be sharing the data?

We may share the data you submit with our programme partners, Ministry of Housing, Communities and Local Government, Homes England, and Transport for London, for the purpose of building our evidence base and reviewing submissions. We will also share your data with our LAND4LDN platform developer AtkinsRéalis Ltd who acts as our Data Processor, under strict terms and conditions.

We may also share your data with the relevant Borough, for the purpose of building our evidence base and reviewing submissions. This will not include any personal data.

We will not:

  • sell or rent your data to third parties
  • share your data with third parties for marketing purposes
  • share your data with any third parties unless they are providing services to us under contract or other formal agreement.

We will share your data if we are required to do so by law, for example by court order, or to prevent fraud or other crime.


For how long we will keep the personal data?

We will only retain your personal data for as long as:

  • it is needed for the purposes of assessing your application or related activities under this programme.

  • the law requires us to retain it.


Your rights, e.g., access, rectification, erasure

The data we are collecting is your personal data, and you have rights that affect what happens to it. You have the right to:

  • know that we are using your personal data

  • see what data we have about you
  • ask to have your data corrected, and to ask how we check the information we hold is accurate
  • complain to the ICO.

In some circumstances you may also have the right to withdraw your consent to us having or using your data, to have all data about you deleted, or to object to the processing of particular types of your personal data. We will tell you when these rights apply.


Sending data overseas

Your personal data will not be sent overseas.


Automated decision making

We will not use your data for any automated decision making.


Storage, security, and data management

We are using london.gov.uk forms to collect information about your application for support to the NHA LDN & ATLAS LDN programmes. Your personal data will be transferred to our secure government IT system and the LAND4LDN platform (i.e. the site review and monitoring system) developed by AtkinsRéalis Ltd. The data will be retained only for as long as necessary to fulfil the purposes of the activities under these programmes, and in line with statutory retention schedules.

Your trust is very important to us. We are strongly committed to keeping your personal data safe. We will take all necessary measures to ensure your personal information is properly protected and secured. This includes having appropriate technical and organisational arrangements to secure your information.

We will never send an unsolicited message to you to ask you to provide your password, financial details or other sensitive information by email or through a link. If you have any concerns about your personal data held by the GLA, please get in touch straight away.
