What will I be doing?

  • Assist with admin based projects including but not limited to: phone answering, diary management (Outlook), filing, photocopying, shredding, data input, formatting, and e-filing
  • Take messages for staff members as required
  • Meet and greet visitors and ensure people sign in and out of the building
  • Other project-based administration including but not limited to: phone work, mail outs, and record keeping

What impact will this have?

  • Volunteers help by assisting our busy Central Service team with reception and admin support so they can continue to provide other vital services.
  • The reception is the central hub of our charity so volunteers will quickly get to know different service users and will help by be another friendly face in our front of house reception team.
  • Volunteers help by providing and positive and happy first impression to our callers and visitors.

Commitment

  • This role is usually a weekly 4 hour commitment from 11-3 with a half an hour break. We ask for a minum of 3-6 months commitment and provide travel expenses and a reference as well as many other benefits.
  • The purpose of the Receptionist Volunteer is to assist the Central Services team in helping support administrative/receptionist tasks in our busy community charity.

  • Personal Attributes:
    • Friendly, patient, and helpful attitude
    • Ability to follow instructions and ask for help if needed
    • Proactive and able to work independently as well as part of a team
    • Good communication skills and the ability to deal with a wide range of staff and service users
    • Discrete and able to adhere to Centre 404’s confidentiality agreement
    • Good IT and computer skills
    • Ability to adhere to Centre 404’s mission statement and values, and use a person centred based approach when working with others
  • Confidentiality: This role requires that strict confidentiality be maintained with respect to all information obtained by volunteers in the course of their duties, as it relates to staff, volunteers, and service users. Volunteers are to adhere to the signed ‘Confidentiality Agreement’ completed upon induction. If confidentially is breached it will be taken seriously by Centre 404, and may result in release from voluntary service.

  • The recruitment of all volunteer placements adhere to Centre 404’s equal opportunities policy. All volunteers are required to complete a DBS check as our building acts as a centre for children.

Expenses

  • Travel expenses up to £5
    Lunch expenses up to £5 if volunteering 4 hours or more

  • A DBS check is required

  • Induction to Centre 404 reception and the work of Centre 404
  • Further training available as requested and agreed in the budget if helpful to the volunteer in their placement e.g. GDPR, autism awareness, learning disability awareness, behaviours that challenge, risk assessment etc,
