Planning your event

Most organisers find it helpful to develop a full event proposal before applying to use Trafalgar Square. Your proposal should include the following:

  • A description of the aim of your event, and why you think the square would be a suitable venue
  • A detailed description of the event
  • How many people you expect to attract, and how your media or marketing plan will work to achieve this
  • Details of any stewarding, security and first aid you plan to provide
  • Details of any infrastructure, including PA systems, staging, props or any other equipment you may wish to bring

This list is not exhaustive, and you may need more or less information than this, depending on the size and format of your event. This proposal will then form the basis of your Event Management Plan, which will detail exactly how your event will run on the day. This plan will also be expected to contain a full risk assessment and method statement.

Did you know?
